1. Corporate Website Design and Hosting (Phase 1) 2. Venue Booking System. (Phase 1) The purpose of this module is to enable online booking of facilities via website. Currently there is no automated process and customers can only make enquiry through email or telephone. a. New Booking I. Step 1: Venue Selection. Customer visits the venue booking page in corporate website and selects date and time, desired seating capacity and/or venue type. The page then lists the venues that are available based on customer’s preferences. The list includes a hyperlink which brings the customer to a gallery page showing the room layout. Customer selects the desired venue in the list and clicks the “Book Now” button and the booking system brings the customer to step 2 of booking process. II. Step 2: Identity Confirmation. Customer enters his/her name and mobile number and the system sends a one-time password via SMS. Customer enters OTP onto the screen upon receiving it. The venue booking order is then associated with the mobile number. III. Step 3: Payment Processing. Before reserving the venue, it is necessary to ensure that the order is genuine and not a spam. We therefore suggest making customer pay a non-refundable security deposit as a token of commitment. Upon successful credit card payment, the system reserves the venue and a confirmation message is transmitted to the customer via SMS. IV. Step 4: Final Payment. Final payment may be made anytime and we may even decide on payment policy on a case-by-case basis. Final payments may be made either online or POS (Point of sale) when cash or check payment is mode. b. Edit Existing Booking. Customers wishing to change their reservation may do so by visiting the same page. I. Step 1: Login. Customer navigates to the venue booking page and enters his/her mobile number. System then SMS OTP password for customer to login. Upon successful login, the system reveals the list of reservations that are currently active. II. Step 2: Edit Reservation. Customer selects the desired reservation from the list and proceeds with editing. c. Pont of Sale. This module is available only to internal staff. This POS module allows staff to perform the following functions: I. view all bookings (current and past) II. list outstanding payments III. enter comments/special notes on a booking IV. process final payment and print receipt
