Contest Brief

We are looking for ideas for a uniquely different online user experience that helps our customer with their key problem - organising and booking an event for their small team. Their boss has told them to arrange a business event (max. 40 people) - perhaps a team building event, a customer event, or a management team get-together. They will potentially have to book a meeting room, hotel accommodation, catering during the day, evening activities, and transportation. Our customer has these problems:
- Potentially never done this ever before and have no idea on how to do this - THEY NEED EXPERT HELP and their hand to be held all the way.
- Expected to make a great event, that everybody loves, and is in a state of fear that their reputation is dependent on this.
- Have very little time available to do this, because this is a side-task to be completed
- Will need lots of inspiration for fun activities that suit their type of team and great meeting locations
- Will need innovative ways of searching, based on the purpose of the meeting (fun, team building, creativity, and so on)
- Will need lots of reassurance that they are making good choices with info available to help them choose between the available options
- Will most likely want to build the event based on location, number of people, budget, date

After having 'Created the perfect event', our customer feels like a superhero, because they've arranged and booked everything in under 30 minutes and are certain that their boss/colleagues/customers are going to absolutely love it.

Guidelines/deliverables
- We are looking for UX/UI concepts for the key stages of the inspire, search, review, select, and build stages of creating the event, ending in the user having placed their selections into a shopping basket.
Prioritise innovativeness of the UX and speed of completing the contest
- Low-fidelity mockups/wireframes/click dummies/videos are preferable at this stage in a standard format (such as Adobe formats)
- We DO NOT need ideas for anything past the checkout, such as booking and payment - please put your creative energies into the steps before this

    Thanks for your reply. to be honest this winning entry is so basic. it is not innovative. In my one also there is a map in individual venue pictures - and namely we give comprehensive hansive pack once CH choose. specialy in a innovation. any way you have chosen one. cheers. thanks for your kind reply.     Hi, we selected a winner, and this of course leaves many of you disappointed. I just wanted to thank you all for your hard work. The winning entry was selected because it was the entry that gave the most comprehensive depiction of the whole booking process, including a map UI. It also showed how the event could have different purposes, and gave ideas for 'ready-made' packages.

    Hi, I have a question: Do you want your system (website) shows immediate search results for what people ask in booking an event, or you want to collect the user request through a form and then contact them with available offers?

    Some people may want to book only an activity. Some may want only a hotel that provides the meeting room and catering. People must be able to browse, review and select the 'ingredients' relevant. But this may depend on availability.

    You can assume that we have databases of availability and descriptions of meeting rooms, venues, activities, catering providers. And links to travel service providers such as flights and ground transportation.

    Some example events:
    1) organise a project lessons-learnt session. 20 people. 3 hour meeting. Followed by a team building activity, followed by some food from a caterer. Location could be a hotel or an activity centre somewhere nice.
    2) organsie a customer training meeting. 30 people. 2 days. must be in a central location near public transport. Need overnight stay at the venue or nearby. Need an activity on the first day in the evening. Need to consider transport options for attendees.
    3) organise a management strategy off-site. 9 people. 2 days. Needs to be somewhere different, somewhere creative. Catering needed if not organised by the venue. Activity suggestions needed. Transport options needed for each attendee, some who are flying in for this event.

    I will keep the contest open until the last possible moment to make sure you have enough time as possible.

    The project at the moment is primarily about solving the UX of inspiring, exploring, and planning an event with multiple inventory aspects (meeting room, hotel, catering, activities, transport).

    Hi Contest Holder. Just had a few questions and suggestions:
    - Can you please #sealed the contest, it will help us submit without being worried of being copied
    - Can you please not close the contest before the end date so that we have plenty of time to work
    - Can you not accept a submission that says they will do the job after being awarded - this is a contest not a project
    Questions
    - Is the project just for planning or for booking as well?
    - Can you share some examples of what can be plans for a great event?
    - What type of events are we specifically targetting (which seems to be office meetings and outings from the description). If we focus on a single type of events, it will be easier to cater to their needs.

    For the Inspire stage, this is for people who have no idea how to organise an event for a team of people, how to find a cool activity, what about eating, will we need hotels and transport, do we need to do some business beforehand. The UX for this stage could be a few questions around the problem the user has - 'Organise a business meeting for 15 people to achieve team bonding and build a sales strategy for the next 6 months'. So, what are the key search criteria? How do we inspire them? After displaying possibilities, what is the thing that inspires them? Is it an example agenda of the perfect day, showing what, when, who, how? Is it something else?

    Work first with simple mockups to uncover how great building an event could be. I want to see the thinking behind it, how the UX changes the visitor's emotions from despair to feeling like a super hero and ready to book because they've managed to build an event that their team is going to love.

    Hi everyone and thanks for joining. This product will be realised on web and later mobile. For the moment, I need help with the psychology of Inspiring, Exploring, Planning the event. Cool ways to be inspired that take me from despair to being inspired. Then cool ways to explore more specific possibilities by combining inventory availability of hotels, meeting rooms, activities according to criteria such as date, place, number of people.
