2 SYSTEMS SPECIFICATIONS PREAMBLE This system specification is for a proposed software solution that will replace the existing excel manual system for a small family business whose principal activity is the trading of clothes and shoes. The clothes are sourced from a few key suppliers overseas in containerized bales and the clothes are sold locally in bales. The system will be a stock management system and can be upgraded later into a full accounting system. DEFINITION OF KEY TERMS  Supplier – the person(s) who supplies the products.  Products – Goods primarily clothes and shoes supplied by the Supplier.  Customer – the person(s) who buy the products. KEY CYCLES The whole system is based on the hierarchy of Supplier, Product and the Lot/Consignment Number. The key cycles are purchase, sale and stock management. 1. PURCHASES CYCLE 1.1. Introduction The clothes and shoes are procured from suppliers from overseas. The consignments are purchased in bales which are containerized and transported by sea. A container has 550 bales on average. The bale is the unit of measure. Shipments are done every month on average. All purchasing, clearing and forwarding processes are completed expeditiously within the requirements of the laws and business norms. On arrival at the port of Mombasa, the goods are cleared and transported by road to the warehouse in Nairobi.
