Create an excel spreadsheet for upload. Instructions are below. Repeat instructions and names of persons are included on the attachment. Attention to detail is very important. This spreadsheet is to be uploaded to [login to view URL] for our use. Florida prisoner name, DC#, Prison facility, and prison address information can be obtained online at [login to view URL] 1. Once there locate and click on “Offender Search”. 2. Select Search All Corrections Offender Databases 3. Insert the client last name and first name from the list below into the Offender Information Search filed. NOTE: some of the below entries have DC number shown. A DC number is a private indentification number provided to the inmate at the time of his first coming into Department custody. It follows the inmate where ever they may go. Prisoners are transferred from time to time to various institutions, etc. The purpose of this project is to develop and up to date address book for our use. 4. We will use the below first name for further illustration purposes: William Albritton. 5. Insert Albritton and William into the appropriate fields in the Offender Search Field. 6. This will bring to you to Inmate Population Information List 7. Click on Albritton, William J. 8. You are brought to Inmate Population Information Detail. Note Mr. Albritton’s DC number, Name, and Current Facility on the Inmate Detail form. 9. Locate the inmates present facility from the Facility Directory List located at [login to view URL] a. Note: There are correctional institutions, work camps, and annexes to these facilities. BE CAREFUL to make sure you are locating the correct facility. I recommend using find and replace once you are at [login to view URL] in order that you can quickly locate the proper facility. For example: You will see that Mr. Albritton is at Charlotte CI. CI is an abbreviation for Correctional Facility. Be careful when creating the spreadsheet NOT TO ABBREVIATE this as it will cause the mail to not be accepted. b. Go to the Edit menu pull down on the Facility Directory page and select Find. c. Type Charlotte and then search: You will be brought to: i. Charlotte Correctional Institution (Male) 33123 Oil Well Road Punta Gorda, Florida 33955-9701 d. A few of the persons on the list are on probation. For example: Troy Sbarra. You will in this case see he is on a supervised population database. If you do a similar search you will see his permanent verified address. For persons on probation you will use this address. 10. Create the spreadsheet with the following fields (Remember, if on probation there is no prison name but use the verified address instead): a. First Name, Last Name, DC#, Prison Name, Address, City, State, Zip Code, 11. Instructions for NetGram address book are as follows for reference if necessary: a. Upload An Address Book to NetGram 1. Create a .csv Address Book File You create an address book file by exporting from your address book software to a Comma Separated Value (.csv) formatted file. Alternatively, you can manually input your address book information into a Microsoft Excel spreadsheet. 2. Select your address book software program Microsoft Outlook How to create file from Outlook Microsoft Outlook Express How to create file from Outlook Express Microsoft Excel (or your own .csv file) Get Excel template 3.
