I have 6 computers in our office and 2 remote computers off site. 4 people use mobile devices. I want to have a cloud based shared folder, similar principles to Dropbox but doesn't have to be this product as we need to be able to back up as well, which Dropbox can't do. I want to change our office policies for 2014 - I want to be paperless by the end of the year. I have looked at Dropbox, Box, Cloud, DriveHQ. I liked DriveHQ as they claim that they can do everything but their interface seems dated. I can't decide and the setup for the file syncing is not easy. This has to be simple stupid so that it is used. I need help to choose the appropriate cloud based storage and backup provider and the help to set it up.

Hello, Based on your project description, I understand what you are trying to accomplish. I've managed many projects for small and medium size businesses where part of the scope for the infrastructure cloud migration involved migrating 100s of GB of company data to the cloud. Below are some points as I understand your project & needs: 1) You want your company data to live in the cloud 2) Cloud data storage service provider must offer the following features: secure, confidential, sharable, redundant, scalable, mobile device accessible, automated back-up/synchronization 3) Initial and on-going setup, configuration and management must be simple 4) You have 8 computers, 4 mobile devices 5) You have reviewed several providers but haven't decided. DriveHQ comes close to meeting your needs, but you are not sold on it just yet Below are questions that can help me better understand your need: a) How many users? b) How much data are you looking to move to the cloud: -Total amount of data -Total per user -Type of data (File system, databases, email archives, etc.) -- c) Are the computers "Shared" devices? e.g. Computer has multiple user profiles, or share a computer login profile? d) Given paperless goal, how much data growth per year/user are you projecting? e) To help find the best cloud storage provider, can you features in item 2? f) what's your budget? Hi, We would suggest to setup a private instance of ownCloud which is basically a Dropbox clone plus very neat features like calendar and contact sharing and mobile apps. Running a private instance will ensure to have no issues regarding data security (giving your data away to someone else) and will make it easy to do backups. We suggest running the software on a virtual private server. We can help you pick a provider or host a custom build solution. I currently work for a fortune 500 company as a Storage admin where my job is to maintain enterprise class SAN and NAS environments. I have also dealt with end user computing environments since college. I already have a plan in mind for you but I would first need to understand more about your needs. Questions to think about: 1. Do you want complete control of your data or do you mind having your data stored off premise? I would assume you don't mind seeing as you were looking at managed services ie dropbox. 2. How much data do you need to store? E.g. Is it just a couple of documents that are only a couple of GBs or is it media files totaling 20+ GBs? 3. What is the expected growth rate of your data? 4. What is your yearly/monthly budget if we determine a managed service is your best option as they depending on the amount of data you need to store/backup could potentially surpass their free service. 5. Does every user need to have their own account or would sharing a single account for the file sync service suffice? This will also factor into the cost question for these managed services. Without understanding these needs giving you a detailed a, b, c proposal will not be possible as I can think of a number of services myself or colleagues have used that fit different needs and price points. As I mentioned I do have multiple scenarios in mind and a plan for them including the need for mobile access to files. Please feel free to contact me to discuss in further detail.
